For more details, please visit : www.piramalpharmasolutions.com Job Title Senior Executive-HR Job Description The Senior Executive – Administration will be responsible for managing end-to-end site administration and employee support services across the site ensuring a safe, compliant, efficient and employee-centric workplace. The role will drive day-to-day administration including housekeeping, security, transport, cafeteria, facility services, contract labour governance, vendor management, office infrastructure, statutory compliance and employee engagement support. The incumbent will work closely with HR, Engineering, EHS, Quality, Procurement and business functions to ensure seamless site operations while driving operational excellence, cost optimization and continuous improvement initiatives. 1.Site Administration & Employee Services •Ensure smooth day-to-day administration across the site. •Manage housekeeping, washrooms, common areas, pantry, cafeteria, horticulture and employee amenities. •Coordinate employee seating, workstation readiness and office movements. •Support employee engagement activities, townhalls and site events from an administration perspective. •Ensure timely closure of administration complaints raised/employee feedback. 2. Facility Management •Coordinate upkeep of office buildings, laboratories, utilities and common infrastructure. •Work closely with Engineering for preventive maintenance, civil works and infrastructure improvements. •Monitor housekeeping quality through regular audits and defined service levels. •Coordinate pest control, drinking water systems, waste disposal and landscaping activities. 3. Vendor & Contract Management •Manage end-to-end administration vendors including housekeeping, transport, security, cafeteria, horticulture, pest control and facility service providers. •Monitor vendor KPIs, manpower deployment, statutory compliance and service quality. •Conduct periodic vendor review meetings. •Recommend process improvements and cost optimization initiatives. •Process purchase requisitions, work orders, invoices and service certifications. 4. Contract Labour Management •Coordinate administration-related contractual manpower deployment. •Ensure attendance validation through CLMS/Face Recognition systems. •Monitor contractor statutory compliance including PF, ESIC, labour licenses, wage registers and supporting documentation. •Support audits related to contract labour management. 5. Security & Access Management •Oversee security operations including visitor management, access control and gate operations. •Coordinate CCTV monitoring, access cards, key management and security agency performance. •Ensure compliance with site security procedures and emergency response protocols. 6. Transport Administration •Coordinate employee transport operations. •Monitor bus occupancy, route optimization and vendor performance. •Address transport-related employee concerns. •Support implementation of transport cost optimization initiatives. 7. Compliance & Audit Readiness •Maintain administration SOPs, records and statutory documentation. •Ensure readiness for customer audits, GMP, GLP, ISO, EHS and internal audits. •Track administration CAPAs and ensure timely closure. •Maintain administration documentation as per regulatory requirements. 8. Budget & Cost Management •Track administration expenses against approved budgets. •Monitor and process vendor invoices for payment. •Identify and implement administration cost optimization initiatives. •Generate monthly MIS on administration expenditure and service performance. 9. Continuous Improvement •Drive digitization and automation initiatives across administration. •Develop dashboards and MIS for vendor performance, complaints, transport, housekeeping and administration KPIs. •Benchmark best practices across Piramal sites. •Lead at least one administration improvement project every year.
