About the Role

A fast-growing, European-founded AI SaaS company — building the leading AI communication suite for small and medium-sized businesses — is looking for a Talent Acquisition Manager to own and build its recruiting function from the ground up. Currently around 50 people and scaling to 70–100 this year, this is a high-impact, high-autonomy role working directly with the Recruiting Lead and C-level leadership.

You will design and run the end-to-end hiring process: from defining role requirements and sourcing top candidates, through to offer negotiation and closing — while also laying the HR operational foundations to support long-term growth. This is an on-site role based in Vienna, Austria. Please note that visa sponsorship is not available for this position.

What You'll Do

  • Partner closely with hiring managers to define clear, well-scoped role requirements.
  • Build and manage a strong candidate pipeline through active sourcing and multi-channel activation.
  • Conduct efficient pre-screening and structured screening calls that deliver actionable hiring decisions.
  • Coordinate all stages of the hiring process to ensure smooth, timely progress for both candidates and the business.
  • Lead employment contract negotiations through to successful offer closure.
  • Design and implement scalable, lean recruiting strategies and operational structures.
  • Build low-overhead administrative hiring workflows and configure the tools that support them.
  • Develop and execute employer branding initiatives that attract top talent.
  • Coordinate external partners including payroll providers, notaries, and tax advisors.
  • Support onboarding and offboarding activities as part of the full employee lifecycle.
  • Help establish HR foundations — processes, tooling, and team culture — in close collaboration with founders.

What We're Looking For

Must-haves:

  • 5+ years of hands-on Talent Acquisition experience, including building and delivering end-to-end recruiting processes.
  • Proven experience negotiating employment contracts and successfully closing offers with candidates.
  • Demonstrated ability to define and implement lean, scalable recruiting processes from scratch, measured with hard metrics.
  • Data-driven mindset: comfortable defining, tracking, and reporting on KPIs such as time-to-fill, conversion rates, and pipeline efficiency.
  • Experience with recruitment platforms and software — and the ability to configure and optimise them for daily use.
  • Track record of sourcing and pitching roles compellingly to secure top-tier candidates.
  • Ability to quickly assess candidates for both skills and cultural fit across a large applicant pool.
  • Experience coordinating external partners (payroll, notary, tax advisory) within recruiting or HR workflows.
  • Fluency in German (essential for the local market and candidate interactions).

Nice-to-haves:

  • Experience developing and executing employer branding strategies in a recruiting context.
  • Familiarity with AI tools and modern workflows to enhance recruiting efficiency.
  • Background in a high-growth startup or scale-up environment.

Compensation & Benefits

  • Salary: €65,000 – €80,000 gross per year, depending on experience.
  • High degree of autonomy and direct impact on company growth from day one.
  • Work directly with founders and senior leadership in a lean, fast-moving team.

Location

This is a fully on-site role based in Vienna, Austria. Candidates must be based in or willing to relocate to Vienna. Visa sponsorship is not available.
