0416 Campbell B. Hodges Hall Pay Grade: Professional Job Description: The Department of French Studies at LSU is looking for an operations coordinator. This position serves as the liaison for the department's Director of Graduate Studies and current and prospective graduate students. This position supports the Director of Graduate Studies in the administration of the graduate program and manages the administrative services of the graduate program as well as assists with the daily business operations and administrative services of the department.
Job Responsibilities
40% - Manages the daily administrative services of the department's graduate program.
Duties
include, but are not limited to: graduate student applications, assistantships & travel; Handshake; hiring graduate assistants in Workday; InfoReady, SLATE, & APP review application systems for new graduate students; human resource management processes of graduate students and student employees; course enrollment; visa and work authorizations of foreign graduate students, coordination of graduate program examinations and defenses; organization and maintenance of individual graduate student files and records; preparation and distribution of recruiting material. 25% - Assists with the daily operations of the departmental central office to ensure efficiency, timeliness and accuracy. Provides clerical support for the faculty, graduate students, and departmental committees. Handles all incoming correspondence and directs appropriately. Assist the public with departmental information. Procurement of office supplies. Maintains up-to-date departmental directory information (office hours, class schedules, faculty & staff contact information, and list of tutors & translators). Manage departmental key inventory. 20% - Updates the schedule of classes information each semester via Workday and College Net. Assists undergraduate & graduate students with class registration. Prepares departmental course description booklet each semester. Submits textbook orders and other course materials to the university bookstore, which requires mastery of the Adoption & Insights Portal (AIP)-a web-based platform for faculty and staff enabling them to research and adopt course materials in one place. Contacts publishers and requests desk copies as needed. 5% - Supervise, hire, and train 5-10 student workers to perform various sub-professional tasks (handling phone calls, photocopying, greeting visitors, collection and distribution of mail, compiling spreadsheets, updating departmental website, assisting faculty and staff with myriad clerical and research needs) to ensure the daily operations of the central office. 5% - Serves as a backup to the Senior Operations Coordinator during his or her absence. 5% - Other duties as assigned Additional Job Description: Special Instructions: Please attach CV/resume, cover letter, and the names of three professional references.
