Job description
Summary The Physical Therapy Department Secretary is responsible working referrals with centralized scheduling(electronic, written, faxed) as well as registering and scheduling outpatients, managing referral queues and waiting lists for therapy services. Obtains complete, accurate insurance information; verifies insurance benefits with Medicare, Medicaid and Third Party Payers. Explains insurance benefits to patients and collects any required therapy co-payments at the time of service. For Medicare patients, accesses CMS FISS/RTE to track therapy caps if required. In addition, greets patients, and answers the telephones. Clerical duties also include preparing any needed hard charts documents, scanning paper orders, filing, faxing, ordering supplies, and processing correspondence. Secretary may work Plan of Care queue(according to policy) in conjunction with HIM to ensure POC are signed. The secretary is responsible for distributing electronic/paper patient satisfaction surveys on a daily/weekly basis. The secretary must intervene appropriately to meet the needs of people with impaired mentation, vision, hearing, or mobility. He or she may perform other duties, both major and minor, which are not mentioned below, and specific functions may change from time to time. 1.Registers patients, obtaining accurate, up to date demographics including patient email if available. 2.Obtains accurate insurance information from patient, including policy and group numbers and enters into system. 3.Verifies Insurance benefits and obtains authorization for treatment including verification of Insurance

including co-pays, Conditions of Admission, Aids information, Patient Rights, Pain information, Advance Directive information and Advance Beneficiary Notice (ABN) if applicable. Obtains any needed re- authorizations for continued therapy. 4.Verifies Medicare Part B patient therapy cap information through CMS and RTE. 5.Works electronic referrals in the queues in addition to paper and faxed referrals. 6.Schedules patients distributing patient load among therapists according to policy. 7.Collect any co-pays due at time of service. 8.Prepares any hard charts needed and insures documents are scanned into OnBase. 9.Assists in the management of the Baptist Denials Process as requested. 10.Insures patient privacy and confidentiality by abiding by HIPAA laws. 11.Handles incoming calls to Physical Therapy, taking and relaying messages promptly, and accurately; makes necessary follow up phone calls to patients, physicians, etc. Minimum Education, Training and

Required: A. High school diploma or equivalent preferred. B. Previous secretarial training preferred. C. Able to type 40 wpm. D. Previous experience with a variety of computer applications preferred. E. Medical Office
