Duties
Supporting the Emerging Scholar and Leadership Institute, the Administrative Associate will be responsible for managing key administrative and financial processes within Workday. This position will help ensure that purchases, travel, reimbursements, timekeeping, and related transactions are completed accurately, promptly, and in accordance with university policies. The selected candidate will: * Create, submit, and monitor requisitions and purchase orders in Workday. * Track requisitions from initial submission through approval, purchase order issuance, receipt, and payment. * Prepare and process spend authorizations for employee and program-related travel. * Complete and submit expense reports, including reviewing receipts, verifying expenses, and ensuring proper documentation. * Assist employees and program participants with resolving errors, missing information, and other Workday transaction issues. * Review and monitor employee time entries to ensure hours, leave, and corrections are submitted accurately and by established deadlines. * Coordinate timekeeping corrections and follow up with employees and supervisors regarding incomplete or inaccurate entries. * Maintain organized records of purchase orders, invoices, receipts, travel documents, expense reports, and approvals. * Communicate with Procurement, Accounts Payable, Human Resources, Payroll, and other university offices to resolve processing concerns. * Monitor the status of Workday transactions and provide regular updates to institute leadership. * Ensure transactions comply with university purchasing, travel, reimbursement, and timekeeping policies. * Assist with budget tracking by reviewing expenses, commitments, and outstanding purchase orders. * Prepare reports related to expenditures, travel, purchasing activity, and administrative operations. * Serve as a Workday resource for institute staff by providing guidance on required documentation, approval processes, and submission procedures. * Perform other administrative duties necessary to support the daily operations of the Emerging Scholar and Leadership Institute.
Qualifications
The formal education equivalent of a high school diploma is required. Candidates must also have at least three years of directly related administrative experience, including demonstrated experience with Workday processes such as requisitions, purchase orders, spend authorizations, expense reports, and timekeeping. Specialized training in business management, business education, accounting, or a related field is preferred.
