Position Summary: Under the direction of the Associate Director, Academic Personnel, provide support to the Associate Provosts in the preparation of high-level documents and reports emanating from various academic affairs processes, including tenure-track recruitment and reappointments, Contract Academic Staff (CAS) appointments, and other activities related to the academic employment life cycle as required by the various governing bodies of the University. Responsibilities
Serve as resource person to Faculty and Departmental managers and supervisors, with respect to a variety of academic policies and procedures and the application of academic regulations. Complete a variety of electronic forms and documentation pertaining to academic human resources-related functions including recruitment, appointment, reappointment, retirements, terminations and various leave types. Administer the University-level recruitment activities for tenure-track hires, tenure-track reappointments and Contract Academic Staff appointments. Review and assess dossiers for accuracy and completeness. Administer recruitment activities for the University Tenure Recruitment Committee. Administer sabbatic leaves and sabbatic deferrals processes for approval. Maintain various electronic databases and files ensuring information is up-to-date and complete. Produce reports for the Provost and senior administration upon request. Other Qualifying Skills and/or Abilities Demonstrated experience with academic human resources-related activities including academic recruitment, academic promotions and tenure, academic authorized leaves, recruitment and selection. Demonstrated experience working with University policies and procedures, including academic policies and procedures. Proven experience providing advice and guidance to academic administrators and managers. Must be client-focused and service-oriented with a proven ability to deal with people at all levels. Proven ability to provide accurate information and demonstrate diplomacy with delicate situations. Ability to maintain composure under pressure. Proven ability to prioritize and meet deadlines. Demonstrated ability to take initiative. Strong organizational skills with the ability to manage competing priorities and deadlines. Must be teamwork-oriented. Demonstrated oral and written communication skills in both English and French. Demonstrated ability to work in a computerized environment using word-processing, databases, spreadsheets, and presentation software, Banner (HRIS), and Workday.
