Newsroom Operation Coordinator
Job description
About the Role The Hill is seeking a highly organized Newsroom Operations Coordinator to serve as connective tissue across The Hill, NewsNation, and Nexstar's joint Washington, D.C. newsroom. This role sits at the intersection of Business Operations and Broadcast Operations, bridging both functions to keep the day-to-day infrastructure running seamlessly, from executive scheduling and expense compliance to vendor coordination, reader correspondence, and cross-org communications. While executive support is part of the scope, the primary emphasis is on operational and administrative ownership. The right candidate is someone who has thrived in fast-paced, high-demand environments whether in media, communications, policy, professional services, or any field where the work doesn't slow down and the details still have to be right. Key
Responsibilities
Executive & Leadership Support Manage complex scheduling for the SVP of Content, including cross-time zone meetings, competing priorities, and real-time calendar adjustments. Coordinate travel logistics; build and maintain detailed itineraries with contingency handling. Prepare, submit, and reconcile expense reports via Concur on behalf of senior leadership with accuracy and timeliness. Provide proactive administrative support that reduces friction in the SVP's daily workflow. Newsroom Operations & Finance Administration Process vendor invoices and assist with Accounts Payable coordination, including corporate credit card reconciliation and documentation. Act as delegate for PCard expense reporting — ensuring proper coding, compliance, and audit-readiness across transactions. Serve as the first point of contact for vendor communications — managing relationships, fielding inquiries, and routing requests to the appropriate internal teams. Order and track office supplies; coordinate facility service requests, repairs, and business meeting logistics including catering and expense tracking. Manage newsroom subscription rotations, including tracking renewals, coordinating access, and ensuring the right teams have what they need without lapse. Own conference room scheduling across the newsroom, ensuring spaces are optimized and conflicts are resolved proactively. Administer press credentialing for radio and TV galleries as needed, including application coordination, renewal tracking, and correspondence with credentialing bodies on behalf of the newsroom. Provide administrative support for Events, Summits, and high-programming seasons as assigned. Communications & Correspondence Coordinate newsroom-wide and company-wide communications for operational updates and cross-functional initiatives across The Hill, NewsNation, and Nexstar. Route and manage inbound correspondence — press releases, reader mail, and general inquiries — ensuring timely action by the appropriate teams.
Qualifications
2+ years of experience in operations coordination, administrative management, or executive support in a fast-paced environment — media background is a plus but not required. Demonstrated ability to manage competing priorities, complex calendars, and logistics independently and without close supervision.
Experience
with Concur, Accounts Payable workflows, or corporate expense compliance strongly preferred. Proficiency in Microsoft Office Suite; familiarity with Adobe products is a plus. Strong written and verbal communication skills with a professional and proactive approach. High discretion and sound judgment when handling sensitive information involving leadership, finances, or personnel. Comfort working across brands, teams, and reporting structures is a genuine differentiator for this role. Work Environment This position is fully on-site at The Hill's Washington, D.C. headquarters, five days per week. In-person presence is required to effectively support executive leadership and newsroom operations across a joint, multi-brand environment. Salary Range: $50,000.00 - $60,000.00 based upon experience
