Job Description: This position provides and oversees a variety of semi-routine clerical, event-related, and specialized administrative functions for the Intermountain Foundation Events Team. The role supports fundraising events, donor engagement activities, volunteer coordination, and event logistics while providing administrative support to event leaders and managers.

Responsibilities

include preparing correspondence, reports, presentations, agendas, and meeting materials; coordinating calendars and meetings; maintaining event databases and tracking systems; supporting event technology platforms; managing event communications; and assisting with event planning and execution. This position serves as a key administrative resource for Foundation fundraising events and may be assigned event and project support responsibilities that vary in scope and complexity. This is a temporary position with an anticipated assignment duration through January 1, 2027. Schedule - this is a part time position Monday - Friday 9:00 am - 5:00 pm with occasional evenings This position will support the Holiday Quilt Show & Auction from November 9th to 12th, and Festival of Trees from November 28th to December 6th. Applicant must be available to support both events. Job Essentials Performs a variety of administrative and event support functions to assist Foundation event leaders in planning, organizing, implementing, and accomplishing fundraising event goals and objectives. Distributes, and explains registration materials, sponsorship information, volunteer documentation, and event-related communications. Responds to routine requests for information while ensuring compliance with Foundation policies and procedures. Enters and manages information within event management systems, donor databases, auction platforms, volunteer systems, and department tracking tools. Maintains event records, committee rosters, volunteer lists, sponsorship records, and project documentation. Provides comprehensive meeting support including preparing agendas, reserving rooms, distributing materials, coordinating refreshments, recording minutes, tracking action items, and setting up virtual or hybrid meeting technology.

Responsibilities

include support for planning meetings, leadership meetings, workshops, and committee meetings. Monitors and manages shared event inboxes and communication channels, ensuring timely responses and appropriate routing of inquiries from donors, sponsors, volunteers, vendors, and community partners. Assists with event planning activities including event logistics, registration support, committee coordination, signage production, volunteer communication, donor stewardship activities, sponsorship fulfillment, and project tracking. Provides onsite event support during event setup, execution, and breakdown activities. Assists with registration, auction operations, volunteer coordination, attendee support, logistics troubleshooting, and event operations as assigned.

Responsibilities

Qualifications

Demonstrated organizational skills and attention to detail Demonstrated experience managing schedules, correspondence, remote and in-person meetings Demonstrated interpersonal verbal and written communication skills including spelling, punctuation, grammar

Preferred Qualifications

Post-high school education such as college courses or trade school coursework with a focus in business, nonprofit management, communications, event management, hospitality, marketing, or a related field.

Experience

working in a nonprofit or philanthropic organization.

Experience

supporting fundraising events, community events, hospitality, entertainment, or event management operations.

Experience

coordinating volunteers, committees, donors, sponsors, or customer-facing activities.

Experience

with spreadsheets, presentation software, or event management systems. Strong organizational, communication, and project coordination skills with the ability to manage multiple priorities and deadlines. Interact with others requiring employee to verbally communicate as well as hear and understand spoken information. Operate computers, telephones, office equipment, including manipulating paper requiring the ability to move fingers and hands. See and read computer monitors and documents.
