The Accounting Operations Associate plays a crucial role in maintaining the efficiency and accuracy of accounting through meticulous administrative and clerical support. This role demonstrates dependability in handling tasks, a caring attitude towards team collaboration, a proactive approach to improving processes, and a forward-thinking mindset to anticipate and solve challenges, all contributing to the operational success of the company. This position is created to collect the balances for customer accounts that are out of the credit terms. Build and maintain the bridge with customers to keep business continuity and show proactivity to prevent overdue balances in the customer account. ESSENTIAL DUTIES AND RESPONSIBILITIES: Receive and answer calls from customers and Hellmann Offices regarding customers overdue and current exposures Contact customers by email and telephone to communicate the following items: current statement of account, request payments of outstanding invoices Update all efforts such email and call notes with the results of the collection attempts and customer communication on the accounting system and the tracking reports Ensure prompt resolution once an account has been escalated to AR Team Leader and AR Supervisor Keep the contact bridge with the corresponding HWL staff and customer Maintain an updated list with follow ups and a report for accounts with disputes Follow up on open payments reported through internal HWL tracking system Active participation in scheduled calls with HWL customers and internal parties for resolution of past due balances Weekly reporting of metrics as requested by AR Team Leader Additional tasks as assigned by the Supervisor SUPERVISORY RESPONSIBILITIES This position does not supervise any direct reports. EDUCATION AND EXPERIENCE: High School Diploma At least one year of related experience required Excellent verbal and written communication skills in English and Spanish Excellent organizational skills and attention to detail Knowledge of general financial accounting and cost accounting Proficient with Microsoft Office KNOWLEDGE, SKILLS & ATTRIBUTES Self-confident, creative, innovative Can work at all levels of the organization Can make something complex easy to understand Can move from strategic to detailed focus easily Willing to help; looks for solutions; coaches others in finding their own solutions Values each person no matter their position, empathetic Team oriented.
