Responsibilities
Operations: Maintain a safe and secure working environment respecting all health & safety regulations (Visa rules and regulations, Romanian labor law), implementing all required trainings and drills Effectively and successfully respond to problem situation Management of special situations (pandemics, etc.) DocuSign management for RCSB sub-Cluster Reception & management of legal document Security and H&S: Guarantee of clean and safe offices, liaising with the contracted service, and ensuring that they comply with Visa standards (both security and H&S) Point of contact for Security London & Facilities: Access Special incidents Correct disposal of confidential waste Facilities: Manage relationships: vendors, service providers and landlord Manage Ask Facilities & Condeco use and petitions OM Playbook Supervision and active participation in any facilities renovations or expansions, as well as routine maintenance Maintenance of supplies Finance OPEX budget preparation and fulfillment Monthly Cashbook for London Tax payments for entity Strong support in audit processes HR Support celebrations & gifts for employees (HR and Admin take the lead) Onboarding of new joiners, from OM perspective Onboarding of external contractors/ BPOs for Facilities Support Corporate Car Fleet Events Facilities logistics, meeting rooms for following events PA tasks: Manage Expense report for GM Book travel and accommodation Manage Calendar This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.
Qualifications
High school completed with relevant certification, diploma or degree in business, management, finance or hospitality Admin and office management experience in very busy and international environment
Experience
