Responsibilities
The Coordinator provides comprehensive administrative support to the Finance Central Office and the Controller's department. This position is responsible for ensuring efficient office operations and delivering high-level executive administrative support while employing best practices. Serving as a key liaison across the Finance Division, the Coordinator manages a high volume and variety of responsibilities that require exceptional organization, sound judgment, discretion, and professionalism. The Coordinator provides administrative support to the Office of the Vice President for Finance and Chief Financial Officer (CFO) and the Controller by managing executive calendars, coordinating meetings and events, arranging travel, preparing correspondence and meeting materials, and responding to inquiries as directed. The position serves as the primary administrative contact for the Finance offices, independently evaluates requests for appropriate resolution or escalation, and provides exceptional customer service to internal and external stakeholders. In addition, the Coordinator supports divisional business operations by coordinating purchase requisitions, processing purchase order amendment requests, and assisting with operational functions such as facilities, parking, telecommunications, and office administration. The position requires the ability to manage multiple priorities, maintain confidentiality, and ensure timely completion of assignments in a fast-paced executive environment. About the Division of Finance The Division of Finance is led by the Vice President for Finance and Chief Financial Officer (CFO), who provides strategic leadership and oversight of the university's financial operations. Physical Demands Sedentary Work: Primarily desk-based, requiring prolonged periods of sitting while performing tasks such as typing, filing, and using a computer. Repetitive Motion: Frequent use of a keyboard, mouse, and phone, which may involve repetitive hand and wrist movements. Occasional Lifting: Ability to lift and carry office materials, files, and supplies up to 20-25 pounds (e.g., boxes, office equipment). Standing and Walking: Occasional walking to meetings, interacting with staff or faculty, and attending departmental events or presentations. Visual and Mental Acuity: Requires the ability to focus on financial reports, spreadsheets, and documents for extended periods and manage multiple tasks simultaneously. Communication: Frequent verbal communication with staff, faculty, and campus administrators, requiring clear speech and the ability to hear and respond appropriately in meetings and discussions. Qualifications
Education
Bachelor’s degree from an accredited college or university.
Experience
One (1) year of professional secretarial, clerical, coordinator, or administrative experience. Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education. Knowledge of clerical and administrative procedures and systems such as filing and record-keeping. Skill in oral and written communication. Skill in the use of Microsoft Office products. Ability to multitask and prioritize assignments.
