Join JLL's procurement operations team in Warsaw as a Vendor Data Coordinator, where you'll play a vital role in managing supplier compliance, data integrity, and contract administration across the EMEA region. This position offers the opportunity to work at the intersection of procurement, compliance, and data management in a dynamic, multinational environment. You'll partner with diverse suppliers and internal stakeholders to ensure seamless on-boarding processes and maintain the highest standards of vendor governance. Working in a hybrid model, you'll support strategic sourcing initiatives while developing your expertise in supplier relationship management and procurement systems. What You'll Do Manage end-to-end supplier on-boarding and pre-qualification processes, ensuring full compliance with JLL and client requirements across health & safety, financial stability, insurance, and regulatory standards Build and maintain strong relationships with suppliers to facilitate timely document submission, drive compliance adherence, and support seamless procurement operations Administer vendor master data setup, validation, and cleansing activities to ensure accuracy and integrity across procurement systems Coordinate contract documentation management, including internal approvals, signature collection, and structured filing for sourcing initiatives Produce compliance reports, contract analytics, and spend analysis to support data-driven decision-making and procurement performance monitoring Support strategic sourcing initiatives by liaising with suppliers during proposal processes and gathering required documentation Monitor and coordinate supplier KPI performance tracking through JLL regional systems, identifying areas for improvement Provide administrative support including meeting minutes, correspondence, and documentation as needed to ensure smooth team operations What We're Looking For Fluency in English with excellent written and verbal communication skills; proficiency in German, French, or another European/Middle Eastern language (especially Spanish, Italian) is highly valued Bachelor's or Master's degree with proven experience in purchasing, sales, office administration, or procurement-related functions Strong organizational and administrative capabilities with the ability to manage multiple projects and priorities simultaneously Excellent attention to detail and data accuracy, with experience in vendor data management or similar coordination roles Demonstrated ability to take ownership of tasks, follow through on commitments, and deliver results in a deadline-driven environment Outstanding interpersonal skills with the ability to build collaborative relationships across diverse stakeholder groups and cultures Advanced proficiency in Microsoft Office tools, particularly Excel, Word, and Outlook, with aptitude for learning procurement systems and platforms Proactive mindset with strong problem-solving skills and willingness to take initiative in process improvement What You Can Expect From Us Competitive Rewards & Benefits — Permanent contract after probationary period, private healthcare, cafeteria system, life insurance, and employee assistance program.
