POSITION GOALS As a Facilities Coordinator, the primary objective is to maintain and enhance the functionality, safety, and efficiency of the facility through proactive management and strategic planning. Here are concise goals: Onsite operations acting Ensure regular facility inspections and comply with all safety standards. Optimize space usage and keep an accurate inventory of assets. Implement green initiatives and manage projects within deadlines and budgets. Provide prompt and effective service to facility users, incorporating feedback for improvements. DUTIES & RESPONSIBILITIES Client Management Effectively manage and coordinate with the cleaning team to ensure the facility maintains high standards of cleanliness and hygiene, aligning with health and safety regulations. Collaborate closely with the security team to develop and enforce comprehensive security protocols, ensuring the safety and security of the facility and its occupants. Operations Daily facility operations to ensure smooth functioning of all activities. Coordinate repair and maintenance tasks with in-house staff or external contractors. Manage space allocation and office layout planning to optimize workspace. Manage inventory of office supplies and equipment, reordering as necessary. Oversee cleaning and janitorial services to maintain facility cleanliness. Handle the setup and takedown for meetings and events within the facility. Respond to emergency situations or breakdowns, coordinating prompt resolutions. Liaise with security personnel to maintain and update security protocols. Manage parking allocation services for employees. Coordinate waste disposal and recycling efforts to support sustainability initiatives. Serve as the primary contact point for facility-related queries from staff and visitors. Administer contracts and liaise with vendors for facility services and supplies. Prepare and monitor the facilities budget, ensuring cost-effective operations. Document and maintain records of all facility operations, including compliance reports and service contracts. Health and Safety Ensure compliance with statutory regulations on fire, health and safety standards Conduct regular facility inspections to identify maintenance and repair needs. Maintain a safe work environment by ensuring compliance with health and safety standards. Others Liaison and interaction with other Jones Lang LaSalle teams (as appropriate) to deliver quality property related advice to Client Share best practices / benchmarking information with the assigned owner of best practices for Jones Lang LaSalle Reports & Meetings Consolidating & review all reports for review and submission. Attend Regular Meetings as bellows: Weekly Meetings & Reports Monthly Meeting & Reports Annual Meeting& Reports - Yearly Budget Meetings / Annual Performance Review Meeting with Subordinates EMPLOYEE SPECIFICATIONS Experience, Education & Qualifications Bachelor Degree in any discipline, preferable in administration management, building and facilities management Minimum of 2 years’ experience in the corporate real estate, facilities and /or property management industry Competency Profile Understanding of facilities management and an ability to translate that understanding into advice Acumen in financial planning and management Good planning and organisational skills to prioritise work and meet tight deadlines. Sound computer skills in Microsoft Office, MS project & excel Demonstrate initiative leadership, responsiveness and creativity.
